If you cannot deliver the device in person in Warsaw, you can ship it to the laboratory after describing the symptoms first. We accept HDD, SSD/NVMe, RAID/NAS, memory cards, USB flash drives, MacBooks, DVR/NVR monitoring drives and business databases by courier.

Before you pack the device, do not format it, do not run automatic repairs and do not keep trying to copy data. Open the case form or phone us first - we will advise whether shipping is the right path and how to reduce the risk to your data.

How to ship a storage device step by step

01 / Describe the symptoms

Use the case form, e-mail us or phone us. The most important details are the device type, failure symptoms, system messages and what happened after access was lost.

02 / Stop using the device

Disconnect the drive, card, USB flash drive, NAS or computer. Do not save new files, format it, run CHKDSK, rebuild RAID or continue recovery attempts on the same device.

03 / Pack it safely

Use a rigid box, cushioning and separate protection for each device. For RAID/NAS, write down the drive order and the bays they came from.

04 / Add contact details

Put a note in the parcel with your name, phone number, e-mail, a short problem description and the case number if one was assigned.

05 / Dispatch the parcel

Dispatch the parcel by courier or via a collection point and keep the tracking number. After dispatch, you can email the number to biuro@dyskispolka.pl.

06 / Diagnosis and decision

After receiving the device, we run diagnostics and contact you with information about its condition, possible recovery procedure, risks and quote.

When it makes sense to ship the device to the laboratory

Shipping makes sense when the data matters and further home attempts could make things worse. This especially applies to devices that are not detected, were dropped, lost power, show RAW or were already subject to failed repair attempts.

  • An HDD clicks, knocks, slows down, freezes the system or is not detected.
  • An external USB drive or flash drive asks for formatting, shows RAW or 0 B.
  • An SSD/NVMe disappears from BIOS/UEFI, switches to read-only mode, shows 0 GB or stops responding after a power failure.
  • A RAID/NAS is offline, degraded, after a failed rebuild or after an accidental configuration change.
  • An SD, microSD, CFexpress, XQD or CFast card after formatting, card error or interrupted recording.
  • A MacBook with APFS, FileVault, T2 or Apple Silicon does not start or does not mount the volume.
  • A DVR/NVR recorder does not see the drive, recordings are damaged or the material has evidentiary value.
  • A database, company server or accounting environment has stopped working and needs safe diagnostics.

Courier shipment - instructions

The simplest option when you want to ship the device without choosing a pickup point.

  1. Pack the device according to the instructions below.
  2. Choose any courier company. The important part is a parcel number and tracking.
  3. Ship it to the laboratory address above.
  4. Email us the waybill number at biuro@dyskispolka.pl or add it to the case note.

TIP: If possible, choose insured delivery to the door.

Parcel locker - safe shipping

A convenient option if the shipping system lets you choose a parcel locker or pickup point.

  1. Pack the device according to the instructions below.
  2. Ship the parcel to the laboratory address:

How to safely pack different storage devices

Good packing does not increase recovery chances by itself, but it reduces the risk of extra damage in transit. Protect every device separately and never place it loose in an envelope.

3.5-inch HDD

  • Wrap the drive in several layers of bubble wrap or foam.
  • Use a rigid cardboard box and filler so the drive cannot move inside.
  • Do not ship the drive in only a bubble envelope.

2.5-inch HDD/SSD

  • Place the device in an antistatic bag if you have one.
  • Protect it from pressure and movement inside the parcel.
  • Do not tape directly onto the device housing.

SSD/NVMe

  • Protect the module from bending, pressure and static discharge.
  • Ideally, place it in a small box first, then into a parcel with filler.
  • Do not place it loose between documents or in a thin envelope.

SD / microSD card

  • Place the card in an adapter, box or small protective sleeve.
  • Do not save new photos or recordings after an error.
  • Describe the device the card was used in: camera, camcorder, drone or phone.

USB flash drive

  • Protect the USB connector from bending and pressure.
  • If the housing is cracked, do not force it together with tape.
  • Add a note if the flash drive was flooded, broken or not detected.

RAID / NAS

  • Turn the device off and do not rebuild before contacting us.
  • Write down the drive order and the bays they came from.
  • Pack every drive separately so they cannot hit each other.

Do not include if it is not needed:

  • chargers, cables, cases or boxes unless we ask for them,
  • a whole desktop or laptop if the problem concerns only a removable device,
  • a NAS device without first confirming whether we need the drives only or the whole unit,
  • personal items unrelated to the case or document copies we do not need to receive the device.

What not to do before shipping

This is the most important part of the process. In many cases, the biggest problem is not the initial failure but repair attempts made afterwards.

  • Do not format the device, even if the system asks you to.
  • Do not run CHKDSK, "Repair disk", automatic file-system repair or initialization in Disk Management.
  • Do not rebuild RAID or change drive order in the array without a plan.
  • Do not install recovery software on the same device or save scan results to the damaged drive.
  • Do not keep copying files from a drive that clicks, disconnects or freezes the computer.
  • Do not save new photos or recordings to a memory card after an error or formatting.
  • Do not repeatedly restart NAS/RAID if the volume is offline or degraded.
  • Do not open an HDD outside the laboratory.

What to include in the parcel (checklist)

Place a note or printout inside with:

  • Device packed separately and secured against movement
  • Name and surname / company
  • Phone number and e-mail
  • Problem description, e.g. "clicks", "not detected", "asks for format", "speed dropped"
  • What is most important to recover: folders, years, names
  • Information whether the device was already inspected or "repaired" with software
  • (Optional) account/encryption passwords only if necessary to access the data
  • Instructions on what not to do or run without contacting you

Which devices can be shipped

Shipping is a good option if the device can be packed safely and does not require immediate on-site handling. Below are the most common service paths.

Businesses, time-sensitive cases and high-value devices

For business cases, we first identify what is critical: accounting, application database, virtual machine, file server, monitoring recordings or data after a ransomware incident. For RAID/NAS, servers and databases, phone us before shipping so drive order, configuration and failure context are not lost.

Shipping devices from major cities

The laboratory and admission point are in Warsaw. We do not claim local branches in other cities, but we accept devices by courier from clients across Poland after prior contact.

We often handle shipments from cities such as Krakow, Wroclaw, Poznan, Gdansk, Lodz, Katowice, Lublin, Bialystok, Szczecin, Rzeszow, Bydgoszcz and Torun. Regardless of city, the process is the same: describe symptoms, secure the device, dispatch the parcel and wait for diagnosis after laboratory intake.

Security and confidentiality

We are a storage media laboratory. Customer devices and data:

  • are stored in a secured place,
  • are not shared with third parties,
  • can be covered by a non-disclosure agreement (NDA) on request.

Frequently asked questions (FAQ)

Do I need to open a case first?

Yes, it is the best first step. A short symptom description helps us assess risk, choose packing guidance and avoid a device arriving without contact details or failure context.

Can I ship a device from any city in Poland?

Yes. The laboratory is in Warsaw, but we accept devices by courier from across Poland after prior coordination. We do not claim branches in other cities.

How quickly will I receive a quote?

A quote is possible after diagnosis. After receiving the device, we check its condition, risk and possible scope of work, then contact you before actual recovery starts.

Can I ship very important or confidential data?

Yes. In such cases, solid packing, a tracking number and prior case details are especially important. For business cases, we can discuss confidentiality and an NDA before shipping.

Should I ship the whole laptop or computer?

Not always. If the problem concerns a removable drive, the device itself is usually enough. For MacBooks, encryption, unusual SSDs or uncertainty, phone us before shipping.

What should I do with RAID or NAS drives?

Do not rebuild or change the configuration. Mark the drive order and the bays they came from. For RAID/NAS, describe the case by phone or case note first.

Can I ship a memory card after formatting?

Yes, but do not save new photos or recordings to it. Remove the card from the camera, drone or camcorder, protect it in a box or adapter and describe what device it was used in.

Do you recover data from HDD, SSD/NVMe, USB flash drives, memory cards and MacBooks?

Yes. We work with HDD, SSD/NVMe, USB drives, flash drives, SD/microSD/CFexpress cards, RAID/NAS, MacBooks, DVR/NVR monitoring and selected business or database cases.

Can I ship several devices in one parcel?

Yes, but pack each device separately and describe what is what. For multiple array drives, order and source device information are most important.

Can I come in person instead of shipping?

Yes. You can deliver the device to the admission point in Warsaw at Jana Kowalczyka 1, unit 8, 2nd floor. If you are outside Warsaw, shipping is an alternative path after contact.

The best scenario is a short contact before shipping: we know what to expect, and you avoid packing a device without failure context. This is especially important for RAID/NAS, MacBooks, cards after photo sessions and business cases.

  • Do not power the device again just to check it before shipping.
  • Pack each device separately and include symptom notes plus contact details.
  • For RAID/NAS, mark drive order and do not mix drives between bays.
